ASERL Website Privacy Policy

This privacy policy is updated as of November 10, 2022.

The Association of Southeastern Research Libraries (ASERL) is committed to protecting the privacy of personal information that is shared with us to the extent possible, subject to provisions of state and federal law. Personal information is not shared with others, other than as required by laws or in response to subpoenas or other legal instruments that demand access. We do not re-distribute or sell information collected on our web servers. This policy describes the personally-identifiable data ASERL collects, how it is used and stored, and practices in place to ensure the security of these data and compliance with applicable laws. The policy also describes options available to you to request access to, correction of, or removal of your personal data.

Information collected
ASERL collects personal information via our website in two ways:

  1. We collect data that is voluntarily submitted by users, for example registration for an event, webinar, or meeting; subscribing to an email list or newsletter; or registering for a member account to utilize the ASERL Job Board and access the ASERL Member-Only website area.
  2. Data is also passively collected via cookies and web logging via Google Analytics (a web analytics service provided by Google, Inc) during user visits to ASERL’s website. These data may include IP address, device type, browser type and version, operating system, pages viewed and length of time on each page, and errors encountered. Google Analytics also collects IP geographic location data to inform our service region and member offerings. IP addresses are used in the aggregate and not associated with individual users.

Cookies
As noted above, ASERL’s website employs cookies via our use of Google Analytics. This service sets a cookie in order to evaluate an individual’s use of the website and then compiles aggregate reports for ASERL describing activity on the site.

Google stores the information collected by the cookie on servers in the United States. Google may also transfer this information to third parties where required to do so by law, or where third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google. By using ASERL’s website, users consent to the processing of data about you by Google in the manner and for the purposes described above.

Our website platform, WordPress.org, also uses a cookie to track login. This cookie has no identifying information and merely tracks if you successfully authenticated upon attempting to log in. This cookie can then provide access to the areas reserved for logged-in users such as the Members-Only area.

Web Forms
ASERL uses forms on this website. Some of these forms require users to input contact information including name, email, and institution. Contact information from any forms on the site is used only to send material relating to the ASERL member portal/Job Board for which it was collected and will not be sold to or shared with another party, or used for any purpose other than to provide access to the ASERL Job Board and Member-Only website access.

Use of collected information:  ASERL will only use personal information collected from this site for the purpose of communication back to individuals who contact us via the site including information about the event registration, newsletter sign-up, or member registration.  ASERL uses browser-IP-address information and anonymous-browser history to report information about site accesses and for profiling purposes. This information is used to improve website presentation and utilization. IP address information may also be used for troubleshooting purposes. IP addresses are used in the aggregate and not associated with individual users

Distribution of collected information:  ASERL will not disclose, without your consent, personal information collected about you, except for certain explicit circumstances in which disclosure is required by law.  ASERL will not distribute or sell personal information to third-party organizations.

Storage of Collected Information:  Data from event registrations, program applications, and web logs will remain secure unless requested to be deleted by a user. Data provided during a subscription to an email list or newsletter is retained until the user specifically requests deletion of their data. Data collected via Google Analytics is retained for 26 months.
Access, Correction, or Removal of Collected Information:

At any time, you may request access to the data we have collected about you or request removal of that data by emailing jburger <at> aserl.org.

Correction of the name, email, or password for a user with access to the ASERL Members-Only content area can be done by visiting the Update Account page (also linked at the top of the ASERL Members-Only content area.)

To unsubscribe from email lists or newsletters, please follow the directions at the bottom of emails from these sources.

Privacy Policy Revisions
ASERL may change this Privacy Policy at any time and for any reason. We encourage you to review this Privacy Policy each time you visit the web site.  If we make a significant change to our Privacy Policy, we will post a notice on the homepage of our web site for no less than 30 days after the change is made.

Responsibility for External Sites
ASERL’s website contains links to other websites operated by third parties. We provide the links for your convenience, but we do not review, control, or monitor the privacy practices of web sites operated by others.  We are not responsible for the performance of web sites operated by third parties or for your business dealings with them. Therefore, whenever you leave this web site we recommend that you review each web site’s privacy practices and make your own conclusions regarding the adequacy of these practices.
